Understand the Project Request Process

The Office of Strategic Communications and Marketing (StratComm) prioritizes work that has the potential to make the largest impact for Kennesaw State University. This includes initiatives that elevate the University brand, advance strategic priorities, and engage key audiences. 

Before you submit your request, please read the information below to ensure your project is aligned.  

 

Before You Submit

Set your project up for success. Review our project priorities and lead time before you submit your request to make sure it fits with our goals and timeline. All projects require an official request form. Please do not email individual StratComm team members, this can delay review. Submitting the form ensures your request enters our queue for consideration.

  • Our primary focus is on public-facing marketing and public relations efforts that showcase the university's research, education, and strategic mission. We partner with colleges, administrative divisions, and other campus entities to develop projects that align with institutional priorities and strategic goals. For larger, multi-departmental projects, a designated marketing professional will serve as project manager to ensure seamless collaboration and successful project completion. 

    Due to high demand, we prioritize projects as follows: 

    • Assignments from the Office of the President
    • Assignments from the Office of the Provost
    • Content for KSU’s primary social media accounts
    • University-wide recruitment marketing communications
    • Summit Magazine
    • Top-level admissions and recruitment efforts
    • Top-level Division of Advancement fundraising efforts
    • Content for KSU News 
    • Stock photography for general campus use 

    Project Tiers for Prioritization 

    • High Priority Projects 
      • The Office of Strategic Communications and Marketing (StratComm) prioritize projects that directly impact the university's reputation or brand, align with university-level strategic initiatives, and have a significant audience reach or impact. These include major university events, crisis communications, high-profile campaigns, and the promotion of significant achievements and announcements. 
    • Medium Priority Projects 
      • Projects that are important but not critical to the university's immediate goals will be identified as medium priority projects. These projects have a moderate audience reach, support ongoing initiatives or departmental goals, and involve multiple units, departments, or colleges. Examples include social media content for regular engagement and promotional materials for medium-sized initiatives or events. 
    • Low Priority Projects 
      • StratComm will consider low priority projects if time and bandwidth allow, but these are likely to be completed less promptly due to the volume of high and medium priority projects. These projects have a minimal impact on university-level strategic priorities, limited audience reach and are often routine or administrative tasks or events specific to units or departments. Unit-specific communications and marketing personnel typically handle low-priority projects. Examples include unit-specific event promotion, annual reports, and PowerPoint templates. 

    Please Note: StratComm does not typically cover departmental requests such as award ceremonies, speakers, dinners, receptions, group photos, conferences, student headshots, and image scanning. Certain exceptions may be considered directed by university leadership. If we cannot accept your project due to competing priorities or a fully committed schedule, we will assist you in finding an alternative solution. 

  • Planning ahead ensures better results. Because we receive a high volume of requests daily, sufficient lead time is essential to allow for the creative process and effective resource management.

    Production timelines vary by project type and our workload—use these general guidelines when you prepare to submit your request.

    Note: Lead times may vary based on complexity, scope, current workload, and approval processes.

After You Submit

After you submit your request, our team will review it for alignment, scope, and timing. If your project is accepted, we'll manage timelines, reviews, and final approvals to ensure a smooth project launch and a consistent KSU brand experience. If we are unable to support your request, we will let you know and guide you to other resources available.

    • Please review projects and requests on a strategic level with your unit or departmental Marketing and Communications lead before submitting a request 
    • Obtain leadership approval before submitting to help streamline the process
    • Ensure your project aligns with one or more of the University strategic priorities  
  • Use our online Project Request Form to provide important information:

    Fields to complete:  

      • Project title and description 
      • Requester contact info 
      • Department or unit 
      • Desired outcomes/goals 
      • Target audience 
      • Channels requested (e.g., social, web, print, video) 
      • Key dates (launch, event, deadlines) 
      • Budget (if applicable) 
      • Approvals obtained (yes/no) 

    Request form & acknowledgement:

    • You will receive a confirmation email once your project has been received 
  • We review new requests daily and hold two team checkpoints each week: 

    1. We evaluate requests by strategic alignment, current bandwidth, complexity and urgency
      • Note: vague or missing information may lead to additional back and forth which may delay your project
    2. We assign appropriate team members or schedule a discovery meeting 
  • For strategic or complex projects, we will hold a brief meeting with you to clarify:  

    • Scope 
    • Timeline 
    • Stakeholders 
    • Messaging 
    • Budget 
    • Metrics for success 
  • Based on the project type, we will assign a realistic timeline with deliverable milestones.

  • Based on our conversations, we will share a project brief to be confirmed with the requestor including the project scope and timeline.  

  • We will provide regular updates to stakeholders and flag any delays or scope changes.

    • Route drafts or proofs for review internally
    • Route drafts or proofs with partner 
    • Consider additional approvers as needed 
    • Ensure brand compliance and accessibility standards
    • Determine final sign off and obtain approval before launch or distribution 
    • Coordinate any launch or handoff details. 
    • Monitor the project performance (if digital). 
    • Conduct a post-project review for major campaigns
    • Archive assets and documentation for future reference
