Submit a Project Request

On this page, you can submit project requests for marketing, web updates, weekly feeds, and campus-wide announcements. You’ll also find guidance on required information, timelines, what happens after submission, and how requests are prioritized based on university leadership, recruitment, advancement, and strategic communications.

Before You Submit

Please review the guidance below before submitting a request to understand the process and requirements. All projects must be submitted using the official request forms.

  • Our primary focus is on public-facing marketing and public relations efforts that showcase University research, education, and strategic mission. For larger, multi-departmental projects, a designated marketing professional will serve as project manager to ensure seamless project completion. 

    Due to high demand, we prioritize projects as follows: 

    • Assignments from the Office of the President
    • Assignments from the Office of the Provost
    • Content for KSU’s primary social media accounts
    • University-wide recruitment marketing communications
    • Summit Magazine
    • Top-level admissions and recruitment efforts
    • Top-level Division of Advancement fundraising efforts
    • Content for KSU News 
    • Stock photography for general campus use 

    Project Tiers for Prioritization 

    • High Priority Projects 
      • These include major university events, crisis communications, high-profile campaigns, and the promotion of significant achievements and announcements.  
    • Medium Priority Projects 
      • Projects that are important but not critical to the immediate goals of the University will be identified as medium priority projects. These projects have a moderate audience reach, support ongoing initiatives or departmental goals, and involve multiple units, departments, or colleges. Examples include social media content for regular engagement and promotional materials for medium-sized initiatives or events.  
    • Low Priority Projects 
      • These are likely to be completed less promptly due to the volume of high and medium priority projects. These projects have a minimal impact on University-level strategic priorities, limited audience reach and are often routine, administrative tasks, or events specific to units or departments. Unit-designated communications and marketing personnel typically handle low-priority projects. Examples include unit-specific event promotion, annual reports, and PowerPoint templates.  

    Please Note: StratComm does not typically take lead on departmental requests such as award ceremonies, speakers, dinners, receptions, group photos, conferences, student headshots, or image scanning. Exceptions may be considered by University leadership. If we cannot accept your project due to competing priorities or a fully committed schedule, we will assist you in finding an alternative solution. 

  • Planning ahead ensures better results. Because we receive a high volume of requests daily, lead time and project timelines will vary by project type and current workload. Use this guide when preparing your project request.

      • National and International Awards and Recognition​ or Notable Superlatives (e.g., “first,” “only,” “best”)  
      • Resources Unique to KSU  
  • Submit this request when you need updates to existing content—whether print materials, digital designs, or videos. If the original content was not created by the Strategic Communications & Marketing team, please include the name of the individual or team who produced the original version. 
  • You may submit a marketing project request when your print, digital, or video content needs approval to use the University brand, including the logo, name, or other brand identifiers. Approval is not guaranteed, and edits may be required before content is approved.

  • You may submit to request a Kennesaw State University logo for a parent signature or unit signature
    • Photography Services supports key University communications, including:  
      • Marketing Campaigns and Brand Promotion  
      • Editorial and News Stories  
      • Student Life, Classroom, Lab, and Internship Activities  
      • Portraits of Faculty, Staff, and Students for Editorial and Marketing  
      • Presidential and Leadership Assignments  
      • Executive Headshots  
      • Historically Significant Events  
      • Official University Functions and Ceremonies  
  • You may submit this request to locate or access existing assets in the KSU Digital Library (DAM), such as:
    • Photos   
    • Video Footage  
    • Brand Assets (templates, pattern art, etc.)  
    • Official Logos  
  • Requests are generally evaluated based on:  
    • New programs, research breakthroughs, or major events
    • Community service projects and local partnerships
    • Faculty expert stories or insights
    • Major awards or recognitions
  • You may submit any of these form requests to:

    • Request strategic advice, creative input, or general guidance for a project or idea. This is best for early planning or when you’re unsure what support you need.

Use our Marketing Request Form and include:

Use the Web Request Form to submit new web pages, updates, or changes, and include:

  • The project name
  • All associated URL(s) for updating
  • A clear description of the request needed

Weekly Feed

Use the internal Weekly Feed Request Form to submit content for the Monday digest for faculty and staff:

  • Submit via Weekly Feed Form by Wednesday 5 p.m.
  • Include title, short summary, and links.
  • Inclusion is at editor discretion.

Campuswide Announcement

Use the internal Campuswide Announcement Request Form to submit a University-wide message:
  • Use Announcement Form for urgent, University-level messages (AVP/VP approval).
  • Include message, audience, and send time.
  • Verify accuracy before submitting.

After You Submit

After you submit your request, our team will review it for fit, scope, and timing. If approved, we will manage the timeline, reviews, and approvals If we cannot support the request, we will let you know and suggest other options.

    • Review projects on a strategic level with your unit or departmental Marketing and Communications lead before submitting. 
    • Obtain leadership approval to help streamline the process. 
    • Ensure your project aligns with one or more of the University strategic priorities.   
  • We review new requests daily and meet twice weekly to evaluate:  

    1. Requests by strategic alignment, current bandwidth, complexity and urgency 
      • Note: vague or missing information may lead to additional back and forth which may delay your project 
    2. Appropriate team members to be assigned or schedule a discovery meeting
  • For strategic or complex projects, we will clarify: 

    • Scope 
    • Timeline 
    • Stakeholders 
    • Messaging 
    • Budget 
    • Metrics for success 
  • We establish a realistic timeline and milestones based on your project type and scope.

  • We will share a project brief to be confirmed with the requestor, including the project scope and timeline.

  • We will provide regular updates to stakeholders and flag any delays or scope changes.

    • Route drafts/proofs for review internally 
    • Route drafts/proofs with partner  
    • Consider additional approvers as needed  
    • Ensure brand compliance and accessibility standards 
    • Determine final sign off and obtain approval before launch or distribution  
    • Coordinate any launch or handoff details. 
    • Monitor the project performance (if digital)
    • Conduct a post-project review for major campaigns
    • Archive assets and documentation for future reference
