Web Content Review Process

This page outlines Kennesaw State University’s required web content review process. Each college and department is responsible for reviewing and updating its web content on a semester-based schedule to ensure accuracy, accessibility, and alignment with university messaging. 

Semester Review Cycle

Each college or department is required to review assigned web content three times per year to ensure accuracy, accessibility, and alignment with current university messaging. 

Review Periods 

  • December (prior to Spring semester) 
  • March (prior to Summer semester) 
  • July (prior to Fall semester) 

 
Notifications 

The Strategic Communications & Marketing (StratComm) Web Team will send reminders one month prior to each review cycle: 

  • November
  • February 
  • June 

College & Departmental Responsibilities

Each college or department Web Point of Contact (POC) is responsible for the following: 

  1. Request a URL inventory for their site via service ticket 
    ( service@kennesaw.edu – provided by UITS) 
  2. Review all pages listed in the provided spreadsheet and for tracking indicate: Reviewed, Updated, or Deleted. 
  3. Update content directly in the Modern Campus CMS or submit ServiceNow tickets if assistance is needed. 
  4. Submit the Web Content Semester Review Completion Form to formally confirm completion. 

Strategic Communications & Marketing Oversight

The StratComm Web Team will: 

  • Track completion of semester content reviews 
  • Follow up with units that have not submitted confirmation 
  • Provide leadership with a summary of completion rates by college/department at the start of each semester 

Content Review Checklist

Please follow the check list as you complete your content review.  

  • Accuracy & Freshness 
    • Remove or archive outdated announcements, events, news or policies 
    • Confirm faculty/staff listings, titles and contact info are up to date and correct 
    • Verify all dates, deadlines and events are current 
        
  • Links & Files 
    • Test internal and external links to confirm they open correctly 
    • Remove or updates broken or redirected links 
    • Verify all PDFs. Word, and other downloads open correctly and are the latest versions and accessible 
        
  • Accessibility & Compliance  
    • Headings follow a logical order (H1 > H2 > H3) 
    • Images include alt text that accurately describes purpose and content 
    • Links use descriptive test (avoid "click here" 
       
  • Style & Branding 
    • Confirm correct spelling, grammar, and punctuation  
    • Verify Call-to-Actions (buttons or links) are clear and actionable 
    • Shorten long paragraph blocks and improve scan-ability through content chunking 
        
  • SEO & Analytics 
    • Ensure each page has a unique and descriptive title 
    • Review meta descriptions (clear, under 160 characters) 
    • Confirm one clear H1 heading per page 
       
  • Governance  
    • Mark this review date in the tracking log spreadsheet 
    • Flag any issues requiring web team or technical support 
    • Submit confirmation of completion  

Review Tracking & Completion

Submit the Web Content Semester Review Completion Form once all pages are reviewed. The StratComm Web Team will follow up only with units that have not submitted confirmation by the required deadline.
