Mail Resources
Campus Postal Services serves as the central hub for all university mail services available to faculty and staff. This resource provides information on campus mail delivery and pickup, mail drop locations, package services, postage, shipping guidelines, and special mailing requests.
Our goal is to support efficient university operations by providing the information, procedures, forms, and contacts needed to manage departmental mail services.
Receiving Packages on Campus
Here's what to know about sending and getting mail on campus:
- We receive a very high volume of packages daily. USPS mail and packages are processed in our Delivery Tracking System on the day they arrive on campus, Monday through Friday.
- Campus Postal Services is not responsible for any mail items or delivery services that do not deliver the items directly to our warehouse.
- Please be aware that if the shipping carrier lists the shipping status as “delivered,” it does not mean it has reached the final destination – it means the package has reached campus.
We appreciate your patience as we carefully log each package into our Delivery Tracking System to maintain an accurate chain of custody for all items in our care.
Campus Postal Services processes mail and packages for the entire university community, and we work diligently to ensure that every item is received, processed, and delivered accurately. During periods of high package volume, deliveries may be delayed by up to two business days.
We work hard to process all of the University packages for the entire faculty, staff, and student body as quickly as possible, but we also take time to make sure that all of the items in our care, custody, and control are processed correctly and delivered accordingly.
When ordering items for delivery to Kennesaw State University, the shipping carrier may vary. For example, Amazon utilizes multiple delivery providers, and international shipments may be transferred to third-party delivery services. To help ensure proper delivery, we recommend using one of the approved university mailing addresses listed below.

Using one of the approved mail codes above helps ensure that your package is delivered to a university location where authorized personnel can accept it on your behalf. Packages received through these locations are entered into the Delivery Tracking System, creating an accurate chain of custody from receipt through final delivery. This process helps ensure that packages are properly tracked, routed, and delivered to the intended recipient.
USPS Deliveries
The United States Postal Service (USPS) does not deliver directly to most locations on the Kennesaw Campus. Campus Postal Services retrieves all USPS mail from the Kennesaw Post Office each weekday morning and processes it for campus delivery.
All USPS packages addressed to a university address are routed through Campus Postal Services for delivery.
Packages are delivered based on the recipient's location listed in the KSU Campus Directory. If a recipient's department or location is not current in the directory, or if the shipping label does not provide sufficient delivery information, delivery may be delayed or the package may be returned to the sender.
USPS packages are generally processed and delivered on the same business day they are received from the Post Office.
Amazon and Staples Deliveries
Amazon and Staples deliveries are typically routed directly to the Campus Postal Services warehouse.
These items are processed upon receipt and delivered as quickly as possible. In some cases, same-day delivery may be available.
UPS, FedEx, DHL, and Freight Deliveries
UPS, FedEx, DHL, and freight shipments are received and processed by Central Receiving & Distribution.

In most cases, packages received by Central Receiving & Distribution are sorted, processed, and assigned to delivery routes on the following business day.
Interoffice Mail
All interoffice mail must include:
- Recipient name
- Department name
- Mail Drop (MD) number
Items missing this information may be delayed.
Outgoing Off-Campus Mail
All outgoing mail must include a complete delivery address and a departmental return address.
Mail Charged to General University Postage
If postage can be paid using university postage funds, simply place the addressed mail in your outgoing mail area for pickup.
Mail Requiring Departmental Billing
A Charge Back Form is required when:
- Postage must be charged to a specific speed chart number
- Grant funding will be used
- The department collects revenue or handles financial transactions (such as Athletics, Advancement, or Community and Professional Education)
To submit a Charge Back Form:
- Complete the online form.
- Print the confirmation copy sent to your email.
- Sign the printed form.
- Include the signed form with your mailing request.
The printed and signed form must accompany all departmental mail requiring postage charges.

Mail Prep Guidelines
Following these guidelines helps ensure efficient processing and delivery:
- Campus Postal Services can seal envelopes using postage equipment.
- If using window envelopes, ensure the complete delivery address is visible through the window.
- Secure contents inside window envelopes if necessary to prevent shifting.
- Large or heavily filled envelopes should be taped closed.
- Do not place labels, markings, or other items in the upper-right corner of an envelope, as this area is reserved for postage.
- Manila envelopes with metal clasps must have the clasp covered with tape.
- Never use staples to seal mail. Staples can damage equipment, other mail pieces, and create safety hazards.
International Mail
International mail requires additional preparation and documentation.
Requirements
- Separate international mail from domestic mail.
- Customs forms are required for international packages and large envelopes.
- The destination country must appear on the last line of the address and be written in ALL CAPITAL LETTERS.
- Domestic Express Mail envelopes may be used for international shipments only when the item is sent using the appropriate international express service.

Important Reminders – Daily Metering Deadline
The daily cutoff time for metered mail is 2:30 p.m.
Campus Postal Services transports outgoing mail to the Kennesaw Post Office each business
day at approximately 3:00 p.m. Mail received after the cutoff may be processed on the next business day.
