What you need to know about the retirement of Kennesaw State University’s enterprise Zoom license.

Kennesaw State University’s enterprise Zoom license is being retired Monday, August 17, 2026.

UITS is committed to sharing context and resources to help our campus community navigate this transition before the Fall 2026 semester. This Q&A contains information around why this decision was made, what support is available, what actions Zoom users need to take before the cutoff date, and more.

Why was the decision to discontinue Zoom made?

The decision to retire Zoom was made after a comprehensive review of rising technology costs, budget constraints, and opportunities to streamline redundant programs.

Retiring our enterprise Zoom license frees up valuable budget space for essential technology upgrades and enhancements, while furthering adoption of Microsoft Teams, KSU’s official communication platform.

Microsoft Teams, already widely used across campus, duplicates many of the same core features as Zoom, including live meetings, recordings, transcripts, breakout rooms, screen sharing, and virtual chat. It also integrates better with existing campus resources, including Microsoft products like Word, PowerPoint, Copilot, SharePoint, and OneDrive.

As part of the Microsoft environment, Teams offers our campus enhanced security protections. As the higher education cybersecurity threat landscape continues to evolve, moving virtual communication behind the Microsoft environment helps KSU best protect sensitive information and data.

What will happen to my KSU Zoom account when the enterprise license is decommissioned?

Starting August 17, KSU Single Sign-On will no longer work for logging into your Zoom account.

If you previously signed in to Zoom using KSU Single Sign-On (SSO), you must create a Zoom password by September 11, 2026.

To do this:

• Open a private/incognito browser window.
• Navigate to the Zoom Sign-Up page
• Sign up using your KSU email address and follow the prompts from Zoom.
• Create a Zoom password.
• After completing this process, your existing Zoom account can be transitioned and will retain its current data, settings, and Personal Meeting ID (PMI).

Accounts that remain SSO-only after September 11 cannot be transitioned and will be deleted as part of the migration. Users may create a new Zoom account with their KSU email address in the future, but their previous Zoom account data and PMI will not be retained.

Please also note that your account will be part of Zoom’s free tier, which will limit the number of participants and the length of the meetings you organize.

Can I still attend external Zoom meetings and workshops with my account attached to my KSU email?

Yes, you can still attend external Zoom meetings and workshops with your Zoom account attached to your KSU email. 

Your account will be transitioned to a Zoom Basic (free) license. Meetings you host will be limited to 40 minutes and 100 participants. Meetings you attend are not affected and follow the limits of the host organization's Zoom license.

What happens to my Zoom recordings and files?

UITS recommends downloading and transferring any important Zoom recordings, notes, chats, or whiteboards to your KSU OneDrive before August 17. This will ensure you still have access to any important files attached to your Zoom account.

How do I add a Teams meeting to my D2L course?

Create a meeting in your Teams or Outlook Calendar. Make sure to select the Teams meeting toggle button to generate a Teams meeting link. Once the event and link are created, copy the meeting link and add it to your D2L course using the blue Upload/Create > Create a Link option.
