Usage Guidelines for Library Event Spaces 

Eligibility  

  • Meeting spaces are available only to approved university colleges, departments, units, organizations, clubs, etc.    
  • Events must be for an academic purpose. 

Reservation and Confirmation

  • Requests must be submitted at least two weeks in advance.  
  • For student groups, faculty advisors must submit the request, sign the agreement, and attend the entire event.   
  • A reservation is not confirmed until the Room Reservation Agreement is signed and returned, and a confirmation notice is issued by MARBL Events. 

Event Hours and Access  

  • Events must start and end at the scheduled times.  
  • Event setup can start during library business hours.  
  • Events must conclude with enough time to leave the library by close of business.  
    There will be limited weekend availability  
  • The designated  contact must be present for the duration of the event. 

Room Setup and Use  

  • The library provides standard room furniture (tables, chairs) as available.  
  • Room setups must be requested in advance and are subject to approval.  
  • Furniture and equipment may not be removed from the room.  
  • Users  are responsible for returning the room to its original condition. 

Technology and Equipment 

  • Audio/visual (A/V) and technology needs must be noted on the request form.  
  • Library staff provide only limited support on the day of the event and on-site troubleshooting will be limited.  
  • Users  are responsible for testing equipment in advance.  
  • Users are financially responsible for lost or damaged equipment. 

Food and Beverages  

  • Allowed only in approved spaces and must comply with university catering policies.  
  • All food and drink waste must be placed in trash receptacles. 

Room Condition and Clean-Up  

  • Rooms must be returned to their original condition.  
  • Trash must be properly disposed of in provided receptacles in the room.  
  • Failure to clean up may result in additional charges and/or loss of reservation privileges.  
  • Users are liable for any damages and may lose future reservation privileges for violations. 

Conduct  

  • All university policies and codes of conduct apply.  
  • Noise levels must be appropriate to the library setting.  
  • Decorations are permitted only if they do not damage walls, furniture, or fixtures. No tape, nails, or adhesives. 

Cancellations  

  • Cancellations must be made at least 2 business days in advance.  
  • Repeated no-shows or late cancellations may result in loss of future reservation privileges. 

Safety and Compliance  

  • Maximum occupancy limits must be observed at all times.  
  • Exits and walkways must remain clear.  
  • Hazardous materials are strictly prohibited.
